Vendor and contract control

Vendor onboarding and contracting in one workflow, on one unified record, built for the contractor-heavy supply chains of energy and utilities.
Insurance certificates, safety accreditations, risk tiers and contracts stay current, and approved vendors flow straight into your ERP.
Trusted by energy and utilities teams
The industry challenge
Hundreds of vendors and contractors. Five teams, five inboxes. No clear view of who is cleared to work.
Energy and utility supply chains run on contractors and subcontractors: field crews, engineering firms, equipment suppliers, landowners and logistics partners. Each one needs insurance, safety accreditations, tax forms and a signed agreement before work starts.
In most organisations that onboarding still runs by email, with HSE, legal, treasury and accounts payable each holding their own step. Contracts sit in shared drives. Certificates expire in someone's inbox. The ERP holds the vendor, but not the evidence behind it.
When an auditor, regulator or board asks which contractors are cleared to work and carry current insurance, the answer takes days to assemble.
How Gatekeeper helps
Onboarding, compliance, contracts and ERP
on one record.
Gatekeeper is the only unified Vendor and Contract Lifecycle Management solution, built for the vendor, contractor and compliance demands of energy and utilities.
One governed path for every new vendor.
Requests start in the employee portal. The vendor's type and risk tier decide the route: a high-risk contractor gets full due diligence and safety review, while a low-risk supplier takes a lighter path.
Vendors complete questionnaires and upload certificates themselves in the vendor portal, at no cost to them. Approvals from HSE, legal, treasury and finance can run in parallel, and every step is logged.
Approved vendors flow straight into your ERP.
Most ERPs were never built to onboard a contractor, and customising them to do it is slow and costly. Gatekeeper handles the onboarding, then pushes the approved vendor record into the ERP so finance pays only vendors that have cleared the process.
The native NetSuite integration syncs vendor records and brings posted bills back to Gatekeeper, so spend sits beside the contract. Microsoft Dynamics 365 and other ERPs connect through our integrations team.
Contracts connected to the contractor who signed them.
MSAs, statements of work and change orders sit on the same record as the vendor's risk tier, certificates and spend. Draft from your own templates, redline with the vendor inside Gatekeeper and sign with native eSign.
Upload existing contracts in bulk and Gatekeeper AI extracts the key dates and terms. Renewal dates and notice periods are tracked from day one.
Ask your data instead of assembling a report.

FAQ
Frequently asked questions from energy and utilities teams.
Can Gatekeeper handle thousands of contractors and subcontractors?
Yes. Vendor type and risk tier decide the onboarding route, so low-risk suppliers take a lighter path and high-risk contractors get full due diligence. Vendors maintain their own details and certificates in the vendor portal, at no cost to them. Parent and child relationships link related organisations.
Does Gatekeeper integrate with our ERP?
Yes. Gatekeeper has a native NetSuite integration that syncs vendor records and brings spend back. Microsoft Dynamics 365 and other ERPs connect through Gatekeeper's integrations team, which scopes the field mapping with you.
Do we have to replace our ERP or existing systems?
No. Gatekeeper works alongside your ERP and sends it approved vendors. What it replaces are the spreadsheets, inboxes and homegrown accreditation systems around the ERP, and you can consolidate those at your next renewal.
How does Gatekeeper keep insurance and safety certificates current?
Gatekeeper requests a renewed certificate on a lead time you set, and the Insurance Certificate Review Agent checks it on arrival. Your team handles only the exceptions.
Can different types of vendor follow different onboarding routes?
Yes. Conditional logic routes each request by vendor type, category, location or risk tier, with tailored questionnaires and approvers for each, all inside one workflow.
Where is our data hosted?
Gatekeeper operates regional tenancies across the EU, US, APAC and Canada. Your data is hosted in the region you choose, and the Gatekeeper MCP Connector serves requests from the matching regional endpoint.
Do Gatekeeper AI and Gatekeeper Agents work within our existing access controls?
Yes. Role-based permissions apply to Gatekeeper Chat and the MCP Connector in the same way they apply to the rest of the platform: a person sees only what their role allows. No separate AI view bypasses the access model you have configured. Every action, whether taken by a person or by a Gatekeeper Agent, is logged in the audit trail, and agent decisions are visible, explainable and overridable.
Is contract and vendor data used to train AI models?
No. Your contract and vendor data are not used to train third-party AI models. Gatekeeper AI and Gatekeeper Agents work only on your data, within your existing permissions.
How long does implementation take?
It depends on the number of vendors, workflows and integrations in scope. Gatekeeper's professional services team agrees a statement of work with milestones up front, and integration work runs alongside the platform build so both go live together.
