The finance team challenge

Accountable for spend, blind to what drives it.

Your ERP tells you what you paid a vendor last quarter. It doesn't tell you what you agreed to pay, whether the contract should have been renewed, or if anyone checked that vendor's credentials before the first invoice arrived.

The contract lives in a shared drive, the risk assessment (if it happened) lives in someone's inbox,  spend data lives in the ERP, and none of them talks to each other.

How Gatekeeper Helps

Contracts, spend, and vendors are connected.

Right now they live in three different places. Gatekeeper puts the contract, spend, and vendor risk record on one screen. What did we agree, what are we paying, were they vetted. One answer, in one system, not three.

Stop auto-renewals, duplicate vendors, and six-figure surprises.

Overpayments, duplicate vendors, and contracts nobody reviews hide in spreadsheets.

Gatekeeper puts what the contract says you owe next to what you actually paid on the same vendor record.

Every renewal becomes a decision. Forget surprises.

Gatekeeper surfaces contracts approaching their notice period and assigns them to the right person. If nobody acts, it escalates.

Your team sees what is coming up, what it costs and whether it should continue.

Know who you are paying and whether they've been vetted.

Finance teams approve spend on vendors that nobody has screened. Insurance lapses, certifications expire, and people often don't notice until an auditor asks for evidence.

Gatekeeper puts a governed onboarding process in front of every new vendor relationship, so your team never signs off on spend with a vendor that hasn't been checked.

vendor-performance

Build evidence as you work, not when the auditor arrives.

Approvals, due diligence, risk and compliance checks, insurance certificates and review dates are all recorded against the vendor with a timestamp and a name attached, so you can see the full history without chasing anyone for it.

The record is written as things happen, so nobody stitches it together the week before an audit.

UI_Audit Readiness

Your team makes the decisions. Agents do the chasing.

AI Agents collect insurance certificates, chase missing due diligence, extract contract metadata from PDFs, and flag overdue obligations.

The execution work that buries a lean finance team is handled continuously.

FAQ

Frequently asked questions from Finance Leaders.

Our ERP already has vendor records. Is this another system?

No. Your ERP handles the transaction. Gatekeeper handles the relationship, contract, and risk. If you use NetSuite, the integration is native.

Gatekeeper screens and approves vendors first, then pushes clean records into your vendor master. Spend data flows back so you see what was invoiced against what was agreed, on the same record. The ERP was never built to do that.

We do not have a procurement or legal team. Can Finance run this alone?

That is exactly who this is built for. Many of our customers are finance teams that ended up owning vendor contracts because no one else did.

Gatekeeper doesn't assume you have a ten-person procurement function behind you. It gives the people already doing the work the platform and the agents to do it properly, without adding headcount.

We have already started building something internally. Why would we stop?

You may not need to stop. The question is what happens after you build it.

Most internal builds solve one part well. Pulling contracts, vendor risk, and spend onto the same record is the hard part, and the audit trail usually stays manual.

And it's never really finished. It needs changing every time your process does; it breaks when another system updates, and it becomes a problem the moment the person who built it moves on. None of that is in the original estimate, but your team pays for it every year.

Gatekeeper is set up to fit your process rather than built from scratch, so keeping it running isn't your team's job.

We have hundreds of contracts, and most are just PDFs. Where do we start?

You don't need to get organised first. Hand over the contracts as they are, and Gatekeeper builds the register for you, with the dates, the values, the renewal terms and who each contract is with; all in one place you can search.

It handles bad scans, tables and handwriting, so even your oldest PDFs become searchable. And you're not stuck with a set list of fields. If your team tracks something specific, just tell it what to look for.

How does the AI handle our contract data?

Your data stays yours. Gatekeeper's AI runs entirely on Amazon Bedrock within our own environment, so your contracts are never shared with a third-party AI provider and are never used to train anyone's models. Your data is never mixed with another customer's.

We're ISO 27001 and SOC 2 Type 2 certified, and full details are in our DPA.

If your team wants AI for contract review and extraction, it's there. If they aren't ready, every AI feature is optional, and you control what's switched on.

How do we fund this if our budget is already set?

Usually out of what you're already losing. Most of our customers find six-figure savings in their first year, before anything clever happens, just from consolidating duplicate vendors and cutting contracts that no longer serve them. Funding Circle terminated contracts worth around £1m on that basis alone.

Those costs are in this year's budget, not next year's. So the question isn't really where the money comes from, but how much you're currently paying for contracts nobody would renew if anyone asked.
